1 The core rule
Every application you ask us to file carries a charge made of two parts, and we always show you both before you pay:
Part one
Government fee
Goes to the department or post office. Once it has been paid to them, it is outside our control.
Not refundable by us
Part two
Our service fee
Pays for preparing, checking and submitting the form on your behalf.
Refunded if the application is rejected
The promise, in one sentence
If we file an application for you and it is rejected, we credit back to your FORM FILL wallet the exact amount you were charged for that application — the same figure, not a recalculated or reduced one.
2 Rejected by the department
- 1 The department rejects your application and the reason is recorded on your dashboard.
- 2 The wallet credit is applied automatically, immediately, for the full amount charged on that application.
- 3 The credit appears as a separate transaction, so you can see exactly what was returned.
- 4 You can use that credit to reapply straight away without paying a second time.
The five most common rejection reasons, so you can avoid the second round trip:
| Reason | How to avoid it |
|---|---|
| Name or date of birth does not match your ID | Use one reference document consistently, usually your Class 10 mark sheet. |
| A certificate was issued after the document cutoff | Get certificates issued early and check the cutoff for each one. |
| Address proof is too old or in someone else's name | Use a recent utility bill in your own name, or attach relationship proof. |
| Photograph does not meet the specification | Check size, background, both ears visible and a neutral expression. |
| A signature or declaration page was left blank | Sign every page that asks for it, where it asks for it. |
3 Rejected by us before filing
If our review finds that your documents do not support the form — a mismatch, a missing mandatory document, an illegible scan — we send it back to you and we do not spend your money.
You are told exactly what to change. Nothing is charged, or anything charged is credited back to your wallet, until you have fixed it and asked us to proceed. You are never left guessing whether something was filed.
4 You cancel before we file
| When you cancel | Outcome |
|---|---|
| Before we have prepared the file | Nothing is charged. Nothing to refund. |
| After preparation, before submission | The amount charged for that application is credited back to your wallet. |
| After submission to the department | We try to withdraw it. Any credit depends on the department, so we cannot promise one. |
| After the department has processed it | Not refundable. The service has been delivered and the government fee has been paid. |
5 How long a refund takes
| Type | Where it goes | Timeline |
|---|---|---|
| Rejection refund | FORM FILL wallet balance | Immediate, usually within minutes of the rejection being recorded |
| Cancellation before filing | FORM FILL wallet balance | Within 24 hours |
| Unused wallet balance | Stays in your wallet | Available to use immediately |
| Bank or card reversal (where supported) | Back to your source account | 5 to 10 working days, set by your bank |
| Government fee returned by a department | Wherever the department sends it | Entirely at the department's discretion |
We default to returning money to your wallet rather than your payment source. That is deliberate: it is faster, it avoids your bank charging a reversal fee, and the credit is immediately usable for a reapplication. Tell us if you need it sent back to your source instead and we will arrange it where the gateway allows.
6 What is never refundable
- A government fee already paid to a department, post office or authority. We no longer hold it.
- Work that has already been delivered and you are using, such as a completed consultation or a filed application that has been approved.
- Free content. Our guides, checklists and listings cost you nothing, so there is nothing to refund.
- Amounts lost to information you supplied that was wrong, provided we flagged it to you before filing.
- Anything spent after we have told you the application cannot proceed for a reason outside our control.
7 How to request a refund
- 1 Open the application on your dashboard and check whether a wallet credit has already been applied.
- 2 If not, email support@formfill.in from your registered address with the application reference and the amount you paid.
- 3 Or use the contact form and choose Billing Question.
- 4 We confirm within 2 working days and action the credit within 24 hours of confirming.
8 Disputed card payments
Please talk to us before raising a chargeback with your bank. A chargeback on an already-refunded application means the money leaves us twice and the process takes far longer for you.
If we have already credited your wallet and your bank debits the amount again, tell us the transaction reference and we will resolve it with the gateway on your behalf. We would rather fix it for you than have you chase it.
9 Using your refunded balance
Refunds land in your FORM FILL wallet rather than back on your card, because the credit is instant and it can be spent immediately on a reapplication. You can use it like this:
| Action | What happens | Time |
|---|---|---|
| Reapply for the same service | The credit is applied at the payment screen automatically. | Immediate |
| Use it on a different service | The credit stays as wallet balance and pays any service you choose. | Immediate |
| Leave it in the wallet | It does not expire and there is no fee for holding it. | No action needed |
| Ask for it back to your source | Where the gateway supports a reversal, we send it to the original payment method. | 5 to 10 working days |
There is no expiry on a wallet credit, no minimum balance, and no charge for keeping it. If your account is closed while a credit remains, tell us and we will return the balance to your registered payment method.
10 Common refund questions
Will I be charged again if I reapply?
No. The wallet credit is applied when you reach the payment screen, so a reapplication after a rejection costs you nothing extra.
My application was rejected but I see no credit.
Credits can take a few minutes to appear. If it has been more than a few hours, send us the application reference and we will trace it.
The department approved it late, after I cancelled.
If the credit has already been applied, leave it in your wallet. If you have already used it, nothing further is owed to you.
Do you refund the government fee too?
Only if the department itself returns it. Once a government fee has been paid to them, we cannot recover it.
Can I get a cash refund instead of wallet credit?
Where the gateway supports a reversal, yes. Ask us and we will arrange it, though the wallet is faster.
What if I was charged twice for the same form?
Tell us straight away with both transaction references. We reverse the duplicate and confirm within one working day.
My application was rejected because the department was closed.
That is not a rejection of your application. Tell us and we will assess it case by case against the refund timelines above.
