Most government job applications are rejected on administrative grounds rather than merit. The candidate was eligible, the form was filled correctly — and the application still did not make it past verification.
In almost every case the reason is one of a handful of things that could have been checked in ten minutes before submitting. This checklist exists to catch those ten minutes.
1. Confirm the notification is genuine
- Apply only from the official recruiting body website. For central jobs this is the specific commission or ministry portal; for state roles it is the state board or department.
- Cross-check the advertisement number and closing date against the PDF of the official notice.
- Be suspicious of recruitment notices that arrive only on messaging apps or ask for a payment to “unlock” the form.
- Confirm the pay scale, reservation category and eligibility wording match the original notification. Edited screenshots are common in fake listings.
2. Check eligibility properly, not hopefully
| Criterion | What to verify | Typical trap |
|---|---|---|
| Age | Cut-off date stated in the notification, not today's date | Using the wrong cut-off date and missing the limit by days |
| Education | Exact qualification named, and whether a percentage or a mere pass is required | A “gradesh” in the notification read as a percentage requirement |
| Percentage | How it is calculated, and whether it is required in each subject or in aggregate | Computing on best-of or average instead of the stated method |
| Nationality | Whether dual citizenship is excluded | Assuming your status is accepted |
| Reservation | Whether you need a caste certificate issued by the competent authority, and its date validity | Submitting a certificate issued before the required cutoff date |
Read the eligibility section word by word. Most rejections are decided by a single word that the candidate skimmed.
3. Documents: prepare more than the minimum
Even though the notification lists a minimum set, carry photocopies of everything plausible. Verification officers routinely ask for items that were not listed, and a missing document at that stage ends the application.
- Recent passport-size photographs — carry two spare beyond the number required.
- Class 10th mark sheet, for proof of date of birth.
- Graduation mark sheet and degree certificate where applicable.
- Caste or category certificate in the correct format, issued by the stated authority.
- Any experience certificate the notification mentions, with dates.
- Government identity proof — Aadhaar plus one more document.
- Two passport-size photographs affixed, signed and stapled if the notification requires it.
- Self-attested copies, with the self-attestation and signature on the correct page.
4. Photograph specifications
A wrong photograph is one of the most common hard rejections, and it is easy to avoid.
- Recent, colour, plain white background, no shadows or borders.
- Face straight to the camera, both ears visible, expression neutral.
- Only the photograph — no name, date or signature printed on the front, unless the notification explicitly asks for a signed photo.
- Same photograph across every copy you submit, otherwise verification may treat them as different people.
- Do not staple, paste or damage the photograph if stapling is specified.
5. Filling the application form
- Fill every field in the online form, including optional ones where the option genuinely does not apply to you. Blank mandatory fields are rejected by the system before a human sees them.
- Match your name, date of birth and father’s name to your Class 10 mark sheet exactly. Not your Aadhaar, not your degree certificate — the Class 10 record.
- Enter the mobile number you are actually using, because OTPs and alerts go there.
- Upload scans that are flat, fully legible and free of shadows. Crop so only the document is visible.
- Save the completed form number. You will need it to pay the fee.
- Pay the correct category fee — general, reserved or departmental — because a wrong fee means the form is rejected, not refunded.
- Print the application and the payment receipt the same day and keep them together with your original documents.
Take a clear photograph of the submitted form on your phone before you close the browser. If the portal collapses or your session expires, you will not get the form number back.
6. After submitting
- Note the application number and the tentative date in your category.
- Watch for a physical scrutiny stage. Many states require you to present originals, and missing the date forfeits the application.
- Keep the payment receipt until the entire process is complete.
- Be alert to scam messages claiming a payment is required to “unlock” your application number.
Quick pre-submit checklist

- Photographs correct and identical across all copies.
- Name and date of birth match the Class 10 mark sheet character for character.
- All listed documents plus sensible extras photocopied and self-attested.
- Correct fee category paid.
- Application number and receipt saved.
- Original documents safe and ready for the scrutiny stage.
Notification wording, fees and dates change for every cycle. Always read the current official notification in full rather than relying on a guide, including this one, for the exact requirement.
