Getting an application rejected is frustrating, but it is rarely the end of the road. In our experience most rejections come from one of five specific causes, and all five are fixable — most of them within a day.

This guide explains what actually causes rejections, what happens to your money, and how to reapply without paying twice for the same mistake.

What happens to your money first

Before anything else, know the rule so you are not chasing the wrong thing.

If we reject an application, the exact amount you were charged is credited back to your FormFill wallet. You are refunded the amount charged for that application — not a different or recalculated figure.

That credit is immediate and visible in your wallet transaction history. You can use it to reapply immediately, so a rejection does not force you to fund the same application twice. No second charge is made for a reapplication that uses the wallet credit.

The five common reasons for rejection

1. Document mismatch

The most frequent cause by a wide margin. Examples:

  • Name spelling differs between your form, your Aadhaar and your Class 10 mark sheet.
  • Date of birth does not match the record you cited.
  • Address proof older than the permitted window, or in someone else’s name with no relationship proof attached.
  • Photograph too old, or the one on the form differs from the photo on the submitted ID.
  • Caste or income certificate issued by an authority not accepted for that scheme.

2. Illegible or damaged upload

  • Photograph of a document taken at an angle, or with a shadow across it.
  • Scan cropped so a corner, stamp or signature is cut off.
  • Low-resolution photo of a printed page where the text cannot be read.
  • A file that is actually a screenshot of another screenshot.

3. Wrong form or wrong category

  • Applying under a different category than the one your certificate supports.
  • Using a previous year’s form when the current year’s format is required.
  • Filling a section that does not apply to you with a guess instead of leaving it correct.

4. Incomplete or expired supporting documents

  • A certificate that the scheme requires but was not attached.
  • A document with an issue date after the scheme’s document cutoff.
  • Self-attestation missing on a page that required it.
  • A signature needed on a declaration page but not signed.

5. Timing

  • Submitted after the official closing date for that cycle.
  • Verification appointment missed at the institution or centre stage.
  • A document that arrived after the institute’s scrutiny window closed.

How to fix each one before you reapply

ReasonWhat to fixHow to avoid a second rejection
Name or DOB mismatchCorrect the underlying record firstUse one consistent document as your reference across every application
Illegible uploadRe-photograph flat, in daylight, all corners visibleCheck every page at full zoom before submitting
Wrong categoryObtain the correct certificateRead the eligibility clause before applying, not after
Missing documentCollect itWork from the notification’s document list as a checklist
Late submissionCheck the next cycle or an alternate schemeTrack the closing date, not the notification date
Read the written rejection reason on your dashboard. It names the specific problem. Reapplying without addressing that exact reason is the most common way to be rejected twice.

How to reapply

  1. Open the rejected application on your dashboard and read the full reason and the officer’s note.
  2. Check your wallet. The refunded amount should already be credited.
  3. Fix the actual problem — obtain the correct certificate, or re-shoot the documents.
  4. Start a fresh application for the same service.
  5. Pay from the wallet credit so you are not charged a second time.
  6. Compare the new submission against the rejected one before submitting, especially names, dates and the document list.

How to reduce your chances of rejection in the first place

  • Use one reference document consistently. Usually the Class 10 mark sheet for name and date of birth, because that is what most verifiers cross-check against.
  • Photograph documents flat, in daylight. All four corners visible, no shadow, text readable at full zoom.
  • Keep the original certificates and make fresh photocopies for each application rather than reusing an old scan.
  • Read the eligibility section completely, including clauses about category, cutoff dates and previous applications.
  • Submit early. Portals get slow near the deadline and late submissions fail for technical reasons.

What we check before we submit on your behalf

When you use our service, the file is reviewed before submission. That review focuses on the same five causes listed above, because they account for the overwhelming majority of rejections. If something in your documents does not match the form, it is flagged back to you before the application is filed rather than after it is rejected.

Most rejections are not complicated. They are a name spelled two ways, a blurry photograph, or a certificate issued a week too late. Fix those three things and your approval odds change completely.

Scheme rules and document lists change between cycles, so always check the current official notification for the scheme you are applying to. If a rejection reason is unclear, contact us and we will tell you exactly what to correct.
